01 / OVERVIEW

Introduction and Scope of Application

Kuwait Polo Academy ("KPA", "the Academy", "we", "us", or "our"), established in 2016 in the State of Kuwait, operates as a premier equestrian institution dedicated to teaching the royal sport of polo, fostering horsemanship, and developing athletic pathways for children, adult riders, and dedicated women's cohorts.

This Privacy Notice governs all personal information gathered through our official website, registration questionnaires, in-person lesson evaluations, match registrations, and official digital correspondence (including WhatsApp and electronic forms). It outlines the protocols by which we respect, collect, record, process, and secure the personal details of our participants, legal guardians, and visitors.

Our operations adhere to the foundational privacy principles of the State of Kuwait, including Law No. 20 of 2014 concerning Electronic Transactions and Consumer Protection, relevant directives of the Public Authority for Sport, and international best practices for sports club data administration.

To provide bespoke polo instruction, maintain strict rider safety, and manage academy operations efficiently, we collect specific categories of personal data based on participant engagement:

03 / PURPOSE & LEGAL BASIS

Purpose of Processing and Legal Justification

Every item of personal information collected by Kuwait Polo Academy is processed exclusively for explicit, legitimate, and lawful operational purposes directly associated with equestrian instruction and academy administration:

  • Cohort Placement and Pairing: Evaluating rider capability to assign participants to suitable instruction groups (Adult Polo, Children's Academy, Dedicated Women's Groups) and pairing riders with appropriate equine partners based on temperament and skill.
  • Field Safety and Emergency Preparedness: Ensuring coaches, field stewards, and ground medics possess requisite health context to respond swiftly to unexpected field incidents or medical emergencies.
  • Scheduling and Operational Notices: Communicating session confirmations, chukker schedules, seasonal calendar shifts, pitch condition updates, or weather-induced reschedulings.
  • Administrative Documentation: Processing academy memberships, managing lesson package records, and issuing verified receipts.
  • Legal and Regulatory Compliance: Complying with sports club liability obligations, civil safety standards, and Kuwait sports authority directives.

Safety-First Data Commitment

Health and emergency information is treated with elevated confidentiality. It is accessed solely by senior coaching staff and licensed on-site first responders for immediate rider protection on the field.

04 / YOUTH SAFETY

Dedicated Protections for Children and Minors

Developing the next generation of polo athletes is fundamental to Kuwait Polo Academy's founding charter. We enforce rigorous protocols to protect the privacy, safety, and dignity of all young riders under the age of eighteen (18):

All registrations, safety acknowledgments, and enrollment agreements for youth participants must be executed directly by a parent or verified legal guardian. We never knowingly solicit, accept, or process registrations submitted independently by minors without direct parental presence.

Academy instructors and administrative representatives will never initiate private, non-official direct digital contact with minor participants. All lesson logistics, performance feedback, and schedule changes are routed through the designated guardian's verified phone number or email address.

Parental Rights Regarding Minor Records

Parents and legal guardians retain the permanent right to review, update, or request the immediate deletion of their child's administrative records from active academy systems by submitting a written request to academy administration.

05 / MEDIA RELEASE

Field Photography, Videography, and Media Rights

Polo is an aesthetically celebrated, fast-paced equestrian discipline. During training sessions, instructional clinics, practice chukkers, and official tournaments at Kuwait Polo Academy, professional photography and cinematic videography may be captured on and around the polo field.

Recorded visual materials are utilized for three primary academy purposes:

  • Athletic and Pedagogical Review: Assisting instructors in analyzing swing biomechanics, tactical positioning, and riding form for the rider's personal improvement.
  • Historical and Archival Records: Documenting tournament milestones, academy trophies, and the growth of equestrian polo in Kuwait since 2016.
  • Official Academy Editorial & Storytelling: Published on official academy channels, including the website, verified press publications, and our official Instagram handle (@poloacademy.kw).

Media Opt-Out and Anonymity Requests

We deeply respect personal and cultural preferences regarding public imagery. Any adult rider, female participant, or parent of a youth rider may request in writing that photographs or videos featuring their likeness be excluded from promotional channels. We maintain an active opt-out register.

06 / DATA SECURITY

Data Protection, Security Safeguards, and Storage

Kuwait Polo Academy implements robust technological, physical, and organizational safeguards designed to protect personal information against unauthorized disclosure, alteration, accidental loss, or unlawful destruction.

Digital data is housed in secured cloud architectures protected by high-standard Transport Layer Security (TLS/SSL) encryption, firewalled access boundaries, and multi-factor authentication protocols. Physical rosters and medical summaries are stored in locked administration offices with restricted executive access.

Access to participant profiles is granted exclusively to authorized personnel whose professional duties strictly necessitate such access—specifically certified instructors, safety stewards, and administrative coordinators.

07 / RETENTION PERIODS

Data Retention and Deletion Schedules

We retain participant records only for as long as strictly necessary to fulfill the educational, athletic, and administrative purposes set forth in this policy:

Active Membership & Training Records: Retained throughout the participant's active enrollment and for three (3) calendar years following their last attended session, facilitating seamless seasonal re-registration and safety continuity.

Emergency Declarations & Incident Logs: Safety logs and on-field incident records are preserved in accordance with Kuwait civil liability limitation statutes to guarantee legal compliance.

Prospective Early Registrations: Inquiries submitted through our website contact form that do not proceed to active enrollment are automatically archived and purged within twenty-four (24) months, unless renewed by the prospective rider.

08 / DISCLOSURE

Third-Party Disclosure and Information Sharing

Kuwait Polo Academy never sells, trades, monetizes, or leases participant data to external marketing companies, advertisers, or unaffiliated commercial organizations. We share information only under strictly delineated circumstances:

  • Licensed Emergency Medical Providers: In the event of an urgent riding injury or acute health condition requiring immediate medical transport or hospital admission.
  • Equine Insurance and Liability Underwriters: Strictly when required to adjudicate documented sports insurance claims or institutional coverage requirements.
  • Authorized Technology Sub-processors: Trusted cloud infrastructure, SMS verification providers, and encrypted database hosting services bound by strict non-disclosure agreements.
  • Governmental and Judicial Authorities: Solely when compelled by a valid legal order, court summons, or official regulatory directive issued under the sovereign laws of the State of Kuwait.
09 / YOUR RIGHTS

Your Rights and Account Choices

Under this policy and recognized consumer data protection standards in Kuwait, all registered participants and their legal guardians possess comprehensive rights regarding their personal data:

  • Right of Access: Request a verified summary of personal details, emergency records, and enrollment history maintained in our academy systems.
  • Right of Rectification: Request the immediate correction of outdated telephone numbers, residential addresses, emergency contacts, or handicap ratings.

10 / DIGITAL TECHNOLOGIES

Cookies and Digital Browsing Technologies

Our digital web portal uses minimal, strictly essential cookies and secure local storage mechanisms designed to deliver a refined bilingual user experience:

Essential Session Cookies: Retain your active language preference (Arabic or English) and maintain secure session continuity as you navigate between academy pages.

Anonymized Performance Metrics: Aggregate telemetry that measures page load speeds, screen viewport responsiveness, and general regional traffic within Kuwait without profiling individual visitors.

We do not deploy intrusive third-party cross-site behavioral tracking scripts or commercial ad network cookies.
